Managing Profiles, Administrators, and Account Information

As Owner or Administrator of a Flextivity account, you may have to Update Your User and Company Profiles, Extend the Administrators List, Check Your Bills or Upgrade Your Subscription Plan. This article explains the changes that can be made.

Account Owner vs Super Admin Rights

Profile

Click on the "Profile" button located on the top right corner of Flextivity console:

Details about the connected user appear, followed by Company Data.

The "My Profile" panel shows first and last names, the e-mail address, as well as the language preference.

Edit Names, Email and Default Language

To change these elements, click on the "Edit" link.

You may change:

- First Name
- Last Name
- Email Address
- Language Preference for your console interface (Choose between English, French, German, Spanish and Japanese)

Click on the "Save" button to keep the changes, or click "Cancel" to revert to previous settings.

Change Password

You may change the password associated with your Flextivity account e-mail address by clicking on the "Change Password" link.

Changing your password requires you to fill out all three fields:

- Current Password: enter the password you are currently using.
- New Password: enter the new password of your choice.
- Confirm Password: enter the password of your choice again as typed in the previous field.

All password fields are encrypted, so whatever password is entered, it never appears in clear view. Password length must be 6 characters or longer.

Click on the "Save" button to apply the changes, or click on "Cancel" to revert to previous settings.

If you forget your password, you will need to reset it.

Company

Click on the "Profile" button located on the top right corner of Flextivity console:

Administrators can view the Company Profile, but only the account owner can change these settings.

To change your Company address and settings, click on the "Edit" link, just under the account owner email.

You may change the following fields:

- Company Name
- Address
- Address 2
- City
- State/Province
- Postal Code
- Phone Number
- Country
- Default Language: sets the Flextivity Console default language for all users (to choose between English, French, German, Spanish and Japanese).
- Default Time Zone

Click on the "Save" button to apply the changes, or click on "Cancel" to revert to previous settings.

Admins

Click on the "Admins" button located on the top right corner of Flextivity console:

"Manage Users" table appears.

This table summarizes the Names, Emails, Role and Status for all users that can administer the Flextivity console in your company.

Four (4) filters are available to sort company user per activity status:
- All: lists all users (active, inactive as well as invited).
- Active: shows only active users (this is the default filter).
- Invited: shows only invited users.
- Inactive: shows only inactive users.

From this table, you may Add a New Administrator, Change Each User's Profile Details, Reset E-mail Password, as well as Suspend Any Admin.

Add a New Admin (Invite User)

You may find that other people in your company need to access the Flextivity Cloud admin console. Here are the steps to set up a new user with admin access:

  1. Click on the 'Invite User' button.
  2. Provide the name and email address for the person you would like to add. You can also specify its default language.
  3. Choose between an Account Owner role or an Administrator role.
  4. Click on 'Invite' to create the new account.

An email will be sent to the person you invited, asking him/her to join the account. Once the link provided in the email has been clicked on and the account password is set, the access is granted, allowing the new user to manage the Console like any other administrator.

Edit Admin Profile

Each user can have their data and status updated at any time. Click on the pencil button at the right side of the user to update.

You may change:

- First Name
- Last Name
- Email Address
- Language Preference for your console interface (to choose between English, French, German, Spanish and Japanese)
- Status

Click on the "Save" button to keep the changes, or click on "Cancel" to revert to previous settings.

This form allows two more actions: Suspend an Admin and Reset E-mail Password.

Suspend an Admin

The Edit User Details panel allows you to suspend any user, by switching the Status to Inactive.

Once completed, the user is moved to the Inactive list. Consider this action as a way to remove a user from the the active pool of administrators. (Note: Flextivity does not provide a deletion feature, users are "suspended" in place of "removed".)

Reset Email Password

The last action allowed within the Edit User Details panel: resets e-mail password.
An e-mail is sent to the selected user providing him a notification.

If your passwords get compromised, you may force users to change their password with this feature.

Account

The "Account" button is only visible when logged in with an account owner e-mail.
Click on the button Account located on the top right corner of Flextivity console:

The resulting page is separated in two zones: the top is dedicated to subscription management, and the bottom lists the bills, either paid or outstanding.

If the Flextivity Account has been created manually, all subscription management has to be done by your Intego Sales representative.

Change Subscription Settings

Subscriptions acquired online from the Flextivity website allow you to change your settings at any time. You can add or remove seats, change your subscription plan or cancel your subscription. Once applied, changes are available for the next billing period.

- Add/Remove Seats
Clicking on the "Add/Remove Seats" link shows a new slider allowing you to add or remove seats from the current license. It recalculates automatically and updates the amount to pay for the next billing cycle.

- Change Subscription Plan
If you own a Flextivity Secure or Flextivity Monitor protection plan, you can upgrade it to the full package: Flextivity Complete. On the other hand, if you wish to use less features, you may downgrade. Click on the "Change Plan" button or "Upgrade" to proceed to either choice.


- Cancel Subscription
The Cancel Subscription option allows you to stop your Flextivity subscription.

Check Your Bills

Subscriptions acquired online from the Flextivity website display a section called "Billing History". It allows you to check every bill related to your subscription, as well as update payment information.

- View Receipts
A "View Receipts" link appears at the end of each bill. Click on it to view the details in another webpage. You may print this receipt and keep it for your records.

- Update Payment Information
This link is attached to the next bill. Clicking on it brings you to the Flextivity billing system, where you would be able to update:

  • Payment Method
  • Billing E-mail Address
  • VAT ID (if available)

Once applied, changes are available for the next billing cycle.

 

Account Owner vs Super Admin Rights

The Account Owner and Super Admin users do not have the same rights on Profiles, Users and Billing charts. Here is what can be done per role:
